Job Purpose:
Act as the first point of contact for visitors and callers, while undertaking various administrative tasks as directed by the Manager: Marketing, Communications & Stakeholder Management.

Responsibilities:

  • Operate the CETA’s telephone system, including transferring calls, taking messages, and maintaining the voicemail system.
  • Maintain and update staff contact lists and telephone extension lists.
  • Manage the organization’s visitor register and direct visitors according to guidelines.
  • Ensure neatness and tidiness of reception and boardroom areas.
  • Provide general information, manage internal and external calls, and receive walk-in visitors.
  • Administer incoming and outgoing courier items.
  • Order front office supplies and maintain inventory.
  • Update calendars, schedule meetings, and arrange travel accommodations.
  • Perform clerical duties such as filing, photocopying, and faxing.
  • Maintain office security and control access via the reception desk.
  • Provide logistical support for meetings held in the boardroom.
  • Ensure compliance with Health & Safety protocols.
  • Contribute to policy and procedure reviews.
  • Prepare and submit accurate monthly reports.
  • Back up work regularly per ICT policies.
  • Attend risk, compliance, ethics, and fraud prevention meetings.
  • Report any suspicious activities via the CETA hotline.

Ensure the development, enhancement, communication, reporting, and oversight of the CETA’s Communications and Stakeholder Management strategy and framework, supporting the CETA strategy and mitigating business risks.

Responsibilities:

  • Develop tactical plans for execution of strategic objectives.
